Covid-19 Policies and Procedures

We will continue to offer both in-person and online tutoring in Term 2.

  • If you are prefer to do tutoring online (using Zoom) we will provide your lessons online at your normal scheduled time.
  • If you prefer to come in person, we will be open for face to face tutoring at our Lakedge location.

We are a COVID Safe business and we will be complying with all regulations.

NOTE – If you are attending in person, you will be required to follow these procedures:

  • Sanitize your hands before your lesson starts. You may use our provided sanitizer.
  • Do not attend in person if the student is sick, is awaiting a COVID-19 test, has been in contact with someone diagnosed with COVID-19, or is otherwise required to self-isolate. In this case we can arrange for the lesson to take place online.

If restrictions change, we will make adjustments to our policies if necessary and let you know about any changes. Just let us know if you have any questions or concerns, and whether you’ll be attending online or in person.


Payment Policy for Weekly and Fortnightly Students

When you sign up for ongoing tutoring sessions (weekly or fortnightly), you will be required to sign a contract between Apex Tutoring Services (the “Business”) and you (the “Client”), which comprises of the following terms:

  1. Card on file – I authorise this business to keep my credit card on file for any future transactions until I request a cancellation.
    I understand that this authorisation will remain in effect until I request that it be terminated. I acknowledge that I am responsible for making this request to the Business in writing.
  2. Recurring charge weekly/fortnightly – This recurring charge is to cover the cost of tutoring and reserves the weekly/fortnightly day and time of the tutoring session for as long as that day and time are available.
    I authorise this business to charge and keep my credit card on file for [payment amount] on [first payment date] and for the same amount on a weekly/fortnightly basis thereafter during the New South Wales public school terms (see https://education.nsw.gov.au/public-schools/going-to-a-public-school/calendars ) and excluding public holidays.
    I acknowledge that I will receive a receipt for each charge made and that no prior notification is needed unless the date or amount of a charge is subject to change. The date or amount of a charge may be changed with immediate effect by written agreement if the Business and I both agree to change the day or duration of the ongoing tutoring sessions (for example, changing from 30-minute to 45-minute weekly sessions). If the date or amount is to otherwise be changed, the Business must notify me of such changes at least fourteen days in advance of when the change(s) will take effect.
    I understand that the terms of this authorisation will remain in effect until I request that they be terminated. I acknowledge that I am responsible for making this request at least 14 days in advance of the next scheduled charge date to ensure I am not charged again.
  3. Cooling off period – This contract has a cooling off period. You may cancel the first appointment and associated charge, as well as all future recurring charges, up to the day before the first appointment, and you may cancel the recurring charges up to seven days after the first appointment. After this cooling off period, 14 days notice is required to cancel recurring charges.
  4. Terms for alternative day/time sessions – I acknowledge that if I give notice before the start of the session, I may request an alternative day and/or time for my session within the same week of the session. The business will make a reasonable effort to find an alternative day and/or time but cannot guarantee a suitable day and/or time will be available. If the session is changed to an alternative day, the day of the recurring charge will not be changed.
  5. Terms for pausing payments – I understand that I may pause only one recurring payment per New South Wales public school term if the student cannot attend a weekly session AND 24-hour notice is given. I acknowledge that if the student cannot attend a weekly session and I have already paused one payment for the term OR less than 24-hour notice is given, I will still be charged for the reservation of time.
    If I wish to pause payments for a longer period of time, I may reserve my spot for up to 2 weeks by notifying the Business and paying a deposit for the week of my return 14 days in advance of my absence.
    I understand that if a weekly session is cancelled by the Business (such as when the tutor is unwell), I may be offered to have the session on a different day. If having the lesson on a different day is not feasible, the recurring charge will be paused for that week. If the charge has already been processed, it will be paused for the following week or refunded.
  6. Terms for makeup sessions – I understand that in the case I am charged for a weekly session that the student could not attend AND I gave the Business notice before the session (for example I have already paused a recurring payment in the current term OR I gave notice within 24 hours of the lesson), I may request a makeup credit for that session.
    I understand that makeup credits must be used by the end of the term or within the school holiday period following the current term. I also understand that I may only have 1 makeup credit at one time. I acknowledge that if a credit is not used by the end of the school holiday period following the current term, the credit will be forfeited, and if I am issued a new makeup credit any previous credit will be forfeited.
  7. Payments for casual bookings – I authorise this business to charge and keep my credit card on file for the agreed upon amount for any casual bookings that I schedule. Casual bookings are those that are not recurring weekly or are made during the school holidays.
    I understand that I will be charged up to 24 hours in advance of my casual booking, and that I am not entitled to a refund if I cancel a booking with less than 24-hour notice.

Payments for Casual Bookings

  1. Card on file – I authorise this business to keep my credit card on file for any future transactions until I request a cancellation.
    I understand that this authorisation will remain in effect until I request that it be terminated. I acknowledge that I am responsible for making this request to the Business in writing.
  2. I authorise this business to charge and keep my credit card on file for the agreed upon amount for any casual bookings that I schedule. Casual bookings are those that are not recurring weekly or are made during the school holidays.
    I understand that I will be charged up to 24 hours in advance of my casual booking, and that I am not entitled to a refund if I cancel a booking with less than 24-hour notice.
